Chat bot developed in AI/ML for Fast Track Sourcing

Client Brief

Fast Track Sourcing is an apparel manufacturing and sourcing company with over 40 years of experience. They provide high-quality clothing production, design, material sourcing, quality control, and shipping through fully owned and partner factories across India, Bangladesh, and Turkey. Fast Track Sourcing approached us to develop a chatbot for organizing and retrieving documents efficiently.

Our Endeavor

The client asked us to develop an AI chatbot application to help users upload, organize, and search documents easily. They wanted the system to fetch emails from Gmail, convert them into PDFs, and store them for quick access. The chatbot needed to understand user queries and instantly find the right documents.

Our team built the system using Python for the backend and React.js for the frontend. We automated email fetching with Azure Logic Apps, so emails are automatically converted into PDFs and stored. To make searching easy, we used Azure Cognitive Search, which organizes and retrieves files efficiently. We developed the chatbot with Azure Bot Service, allowing users to ask questions and get instant responses. To ensure the chatbot understood different queries, we integrated Azure OpenAI Service, which helps process language and provide accurate answers.

One challenge we faced was ensuring Gmail integration worked smoothly and securely. We solved this by using Azure Logic Apps to fetch and store emails safely. Another challenge was making document searches fast and accurate, which we improved by refining Azure Cognitive Search. A key issue was ensuring citation results were correct because .eml files (email threads) were difficult to access. We optimized the chatbot to handle this better.

Now, the client has a fully automated system that makes document management simple. Employees can find files instantly without searching through folders. The chatbot provides quick answers, reducing time spent looking for information. Emails are automatically stored in an organized way, making customer communication easier to track. Our solution has helped the client save time, improve productivity, and streamline operations.
