The client required a comprehensive portal capable of managing homeowner delinquencies, defining workflows, and executing automated follow-ups through a structured timeline-based process. Keeping these requirements in mind, we architected and delivered a robust, scalable, and intuitive web platform tailored to their operational needs.

To support HOA and Community Association operations, the system was designed to facilitate efficient recovery of outstanding balances from homeowners. It enables communities to securely process ACH and online payments for delinquency settlements. Additionally, the platform incorporates an intelligent ledger management module that tracks expenses, applied charges, community-level fees, and case manager actions. These ledgers are updated automatically in real time according to predefined rules, and once reviewed and approved, they can be shared with clients and homeowners for clearing pending dues.

To further streamline the collection workflow, we implemented a fully automated communication cycle that sends reminders to delinquent homeowners across multiple channels — text messages, emails, and phone call reminders. Each communication cycle updates the case ledger automatically to maintain accurate records of actions taken. For automation, Twilio was integrated to handle voice calls and SMS notifications, while SendGrid manages the email delivery process. The system also supports dispatching official documents through physical mail, ensuring that homeowners receive legally required notices at their doorstep for review and signing. Throughout the development cycle, our team conducted rigorous functional testing and quality checks to ensure smooth performance and a bug-free user experience. The client remained highly supportive and cooperative, making the collaboration seamless. Ultimately, we delivered a high-quality, fully functional website that exceeded expectations, and the client expressed complete satisfaction with the final outcome.
